Document Templates

Create reusable document templates to streamline signature requests.

What Are Templates?

Templates are pre-configured documents with:

  • Pre-positioned signature fields
  • Assigned roles (not specific people)
  • Configured signature meanings
  • Saved settings for reuse

Creating Templates

From an Existing Document

  1. Go to Documents
  2. Click on a document
  3. Click Create Template
  4. Add and position signature fields
  5. Configure each field's settings
  6. Enter a Template Name
  7. Click Save Template

From Scratch

  1. Go to Templates > Create New
  2. Upload a PDF document
  3. Enter Template Name and Description
  4. Add signature fields
  5. Configure field settings
  6. Click Save Template

Template Fields

Field Types

Type Description
Signature Drawn or typed signature
Initials Brief initials field
Date Auto-filled date
Text User-entered text

Field Settings

For each field, configure:

Setting Description
Role Who should complete (e.g., "Reviewer", "Approver")
Page Which page the field appears on
Position X and Y coordinates
Size Width and height
Required Whether field is mandatory
Meaning Signature meaning (for signature fields)
Order Signing sequence

Roles vs Users

Templates use roles instead of specific users:

  • Role: "Manager" (template)
  • User: "Jane Smith" (at request creation)

This allows templates to be reused with different people.

Managing Templates

Viewing Templates

  1. Go to Templates
  2. Browse all available templates
  3. Click to view details

Editing Templates

  1. Go to Templates
  2. Click on the template
  3. Click Edit
  4. Modify fields or settings
  5. Click Save

Existing Requests Unaffected

Editing a template doesn't change requests already created from it.

Duplicating Templates

  1. Open the template
  2. Click Duplicate
  3. Modify as needed
  4. Save with a new name

Deleting Templates

  1. Open the template
  2. Click Delete
  3. Confirm deletion

Active Requests

Templates with active signature requests cannot be deleted.

Using Templates

Creating a Request from Template

  1. Go to Templates
  2. Click on the desired template
  3. Click Create Request
  4. Assign users to each role
  5. Customize if needed
  6. Click Send

Role Assignment

When creating from a template:

Template Role Assign To
Reviewer Select internal user or enter email
Approver Select internal user or enter email
Witness Select internal user or enter email

Customizing Before Send

You can modify before sending:

  • Add or remove fields
  • Change positions
  • Adjust settings
  • Add message to signers

Organize templates by category:

  1. Edit the template
  2. Select Category
  3. Save changes

Who Can Create Templates

  • Organization Owners
  • Users with template management permissions

Who Can Use Templates

  • All users who can create signature requests
  • Templates can be restricted to certain roles

Restricting Template Access

  1. Edit the template
  2. Under Permissions
  3. Select which roles can use it
  4. Save changes

Template Versioning

Version History

Templates maintain version history:

  1. Open template
  2. Click Version History
  3. View all previous versions

Reverting to Previous Version

  1. Open version history
  2. Click on a previous version
  3. Click Restore This Version
  4. Confirm restoration

Best Practices

  1. Naming convention - Use clear, descriptive names
  2. Consistent positioning - Place signature fields in logical locations
  3. Test thoroughly - Create test requests before production use
  4. Document templates - Maintain a list of templates and their purposes
  5. Regular review - Periodically review and update templates
  6. Limit editors - Restrict who can modify templates
  7. Use categories - Organize templates for easy discovery

Common Templates

Standard NDA

Fields:

  • Party 1 Signature (page 3)
  • Party 2 Signature (page 3)
  • Date fields (auto-filled)

Quality Document

Fields:

  • Author signature (meaning: "I have prepared this document")
  • Reviewer signature (meaning: "I have reviewed and approved")
  • QA Approval (meaning: "I authorize the release")

Training Acknowledgment

Fields:

  • Trainee signature (meaning: "I attest to the accuracy of this data")
  • Trainer signature (meaning: "I have performed the work described")
  • Date completed
